Translation process in in French language
Translation into French requires not only linguistic accuracy but also adherence to strict rules of linguistic purism and specific legal stylistics (Code Civil). What matters in French documents
French administration pays close attention to exact data matching. A surname in a document must match the spelling in the passport letter for letter, including apostrophes and hyphens. French civil records often write the surname in capitals and the given name in normal case, and the translation keeps that presentation. We lock one spelling of names and addresses across the whole set, because a mismatch in a single letter leads to refusal.
The second feature is French civil status records themselves. A birth record exists in several forms: a full copy of the record, an extract showing parentage, and an extract without those details. Institutions ask for a specific form, and submitting the wrong version also leads to refusal. French bodies often require a document issued no more than three months ago, so an old translation of a fresh record will not help.
The third feature is register. French administrative language is formal, with fixed phrasing and the obligatory “vous” form of address. The accepted formulas matter, otherwise the document reads as unprofessional. French also uses a comma as the decimal separator, which is critical in financial documents.
One more point is diacritics. The letters é, è, ê, ç, à and ù change the meaning of a word, and losing a mark in the name of an institution or a town makes the text incorrect. We check this separately, especially in names that will later be verified against registers.
French institutions that require translation
Most translation requests are submitted to the following bodies:

Driving licences deserve a separate note. The conditions for exchanging a Ukrainian licence in France depend on your residence status and the time since the permit was granted, so current requirements are worth confirming with your préfecture. When France requires a sworn translator
This is the main difference of the French direction and it is worth knowing in advance. For many procedures inside France only a translation by a traducteur assermenté is accepted, meaning a translator listed as an expert with a court of appeal. Ukrainian notarisation does not substitute for that.
The rule is not universal, though. A Ukrainian translation with notarisation and apostille is accepted for consular procedures, for submissions inside Ukraine, for banks and companies, and in cases where the institution does not insist on a sworn translator. That is why we always start by asking where exactly the document will be submitted.
If your procedure genuinely requires an assermenté translator, we will say so directly instead of taking the order for its own sake. When French documents are translated for Ukraine
The reverse direction is just as common. Translation of French documents into Ukrainian is needed for:
- the State Migration Service: residence permit, temporary or permanent stay, employment in Ukraine;
- civil registry offices: marriage to a Ukrainian citizen, birth of a child;
- notaries and courts: powers of attorney, statements, inheritance and family cases;
- recognition of educational documents (nostrification): diploma and transcript with translation;
- tax authorities and banks: financial statements, corporate extracts, articles of association;
- opening a representative office: founding documents of a French company.
The most common items here are the acte de naissance, acte de mariage, livret de famille and documents issued by a notaire. Ukrainian institutions expect a clear statement of the legal fact, so our translation shows which form of the record was submitted and what it confirms.
How apostille works between Ukraine and France
Ukraine and France are both parties to the 1961 Hague Convention, so an apostille is enough for most official documents and consular legalisation is not required. In France the apostille is issued not by the ministry of foreign affairs but by the court of appeal for the place where the document was issued. The procedure can differ by document type, so we confirm the current requirements before starting work.
The usual order is apostille on the original, then translation, then certification of the translation. Doing it the other way round can lead to refusal. Where needed, we handle obtaining Ukrainian documents and their apostille ourselves.
France is an EU member, and between EU countries some public documents follow a simplified procedure. That rule does not apply to Ukrainian documents, so apostille and translation remain mandatory.
French is not only spoken in France
Roughly every third French request we receive is not about France. Administrative terminology differs between countries, and that affects the translation.
- Canada and Quebec. A separate immigration system and its own translation requirements, often demanding a translator accredited by the local professional body. The terminology differs noticeably from French used in France.
- Belgium. Sworn translators attached to the courts and a separate legalisation procedure, with some processes conducted in Dutch or German depending on the region.
- Switzerland. Requirements depend on the canton, and the apostille is issued by the cantonal chancellery rather than a federal body.
- Luxembourg and Monaco. Smaller in volume but with their own document forms and certification requirements.
This is why we confirm not just the language but the country of submission. The same document can be prepared differently for Paris, Brussels and Montreal.
