What matters in Swedish documents

Swedish uses the Latin alphabet plus three additional letters – å, ä and ö. They are not variants of a and o but separate letters with their own place in the alphabet, so replacing å with a in a surname or place name effectively creates a different word. For Swedish registers that means a data mismatch, so we lock one spelling of names and addresses across the entire set of documents.

The second feature is compounding. Swedish builds long compound words in which several concepts merge into one. The name of a job title, a document or a procedure can appear as a single twenty-letter word, and the meaning of the translation depends on how it is parsed. The definite article works the same way, attaching to the end of the word instead of standing in front of it.

The third feature concerns personal identity numbers. The key to the whole Swedish system is the personnummer or samordningsnummer, and registration, taxes, insurance and healthcare are all tied to it. Documents submitted to obtain a number are checked especially carefully, so dates, civil record numbers and name spellings must match the original exactly.

One more point is Swedish communication style. Business Swedish is direct, concise and informal, and addressing someone as “du” is normal even in official correspondence. A Ukrainian document full of long ceremonial phrasing needs adaptation, otherwise the text reads as artificial.

Driving licences deserve a separate note. Sweden allows exchange of foreign licences only for certain countries, so holders of a Ukrainian licence usually have to pass the Swedish test. A translation of the licence may still be needed for insurance and verification purposes, and current conditions are worth confirming with Transportstyrelsen. When Swedish documents are translated for Ukraine

The reverse direction is just as common. Translation of Swedish documents into Ukrainian is needed for:

  • the State Migration Service: residence permit, temporary or permanent stay, employment in Ukraine;
  • civil registry offices: marriage to a Ukrainian citizen, birth of a child;
  • notaries and courts: powers of attorney, statements, inheritance and family cases;
  • recognition of educational documents (nostrification): diploma and transcript with translation;
  • tax authorities and banks: financial statements, corporate extracts, articles of association;
  • opening a representative office: founding documents of a Swedish company.

One document deserves special mention, the personbevis issued by Skatteverket. Depending on the type, it confirms different facts such as family composition, place of residence, marital status or details about children. Ukrainian institutions expect a specific confirmation, so our translation states clearly which legal fact is recorded rather than blending different versions of the certificate.

How apostille works between Ukraine and Sweden

Ukraine and Sweden are both parties to the 1961 Hague Convention, so an apostille is enough for most official documents and consular legalisation is not required. There is an important difference from many other countries here, because in Sweden the apostille is issued by a notarius publicus rather than a ministry. This often comes as a surprise, and it is exactly the step where people lose time.

The usual order is apostille on the original, then translation, then certification of the translation. Doing it the other way round can lead to refusal. We agree the sequence before starting work and can obtain the documents on your behalf if needed.

Sweden is an EU member, and between EU countries some public documents follow a simplified procedure. That rule does not apply to Ukrainian documents, so apostille and translation remain mandatory.
