Translation process in in Japanese language
The Japanese language combines three writing systems (Kanji, Hiragana, Katakana) with a complex system of politeness levels known as Keigo, which determines the status of parties in business relationships. What matters in Japanese documents
Japanese combines three writing systems – kanji (漢字), hiragana (ひらがな) and katakana (カタカナ). Whether a document is accepted without questions often depends on choosing the right one. Foreign surnames and company names are written in katakana, and a single Ukrainian surname can be rendered in several different ways. We lock one spelling across the whole set of documents so that the applicant’s details never differ from one certificate to another.
The second feature concerns dates. Official Japanese documents often use era years: Reiwa (令和), Heisei (平成), Showa (昭和). For example, 令和6年 means 2024. When translating, we convert such dates into the Gregorian calendar and keep the original notation so the receiving office can check the translation against the source.
The third feature is seals instead of signatures. In Japan a personal seal (印鑑, inkan) carries legal weight, and a seal registration certificate (印鑑証明書) confirms it. A translation has to describe the seal and its details correctly rather than simply mark the spot as “signature”.
We also handle address structure carefully. A Japanese address runs from large to small: prefecture, city, ward, block, building number. Many streets have no names at all. A mechanical translation of such an address often makes the document unusable for submission.
Japanese institutions that require translation
Most translation requests are submitted to the following bodies:

Driving licences are a separate case. To convert a foreign licence in Japan, the translation must come from JAF or from the embassy of the issuing country. When Japanese documents are translated for Ukraine
The reverse direction is just as common. Translation of Japanese documents into Ukrainian is needed for:
- the State Migration Service: residence permit, temporary or permanent stay, employment in Ukraine;
- civil registry offices: marriage to a Ukrainian citizen, birth of a child;
- notaries and courts: powers of attorney, statements, inheritance and family cases;
- recognition of educational documents (nostrification): diploma and transcript with translation;
- tax authorities and banks: corporate extracts, articles of association, financial statements;
- opening a representative office: founding documents of a Japanese company.
One document deserves special mention: the family register extract (戸籍謄本, koseki tohon). In Japan it often replaces several Ukrainian documents at once, including birth, marriage and divorce certificates. We translate it so that a Ukrainian notary or registry office can see exactly which legal fact is confirmed.
How apostille works between Ukraine and Japan
Ukraine and Japan are both parties to the 1961 Hague Convention, so an apostille is enough for most official documents and consular legalisation is not required. Apostilles on Japanese documents are issued by the Ministry of Foreign Affairs of Japan (外務省), and on Ukrainian documents by the relevant Ukrainian ministry depending on the document type.
The usual order is apostille on the original, then translation, then certification of the translation. Doing it the other way round can lead to refusal. We agree the sequence before starting work and can obtain the documents on your behalf if needed.
Requirements differ between institutions, so before we start we confirm where the document will be submitted and in what form: notarised, stamped by the translation bureau, or delivered electronically.
Technical and business translation into Japanese
